How to Set Up GHL Review Request Automation to Get Google Reviews on Autopilot

Most coaches I work with have a Google Business profile sitting at three or four reviews — all from 2023. It is not because their clients are unhappy. It is because nobody ever asks at the right moment, and manual follow-up gets buried under everything else. Why Coaches Don't Get Reviews (The Real Reason)

When I audit a coaching business at Systrify, I almost always find the same thing: the coach delivers a genuinely strong result, the client is grateful, and then... nothing happens. No review request goes out. Maybe the coach sends a Calendly wrap-up email a week later that mentions reviews as an afterthought. The client ignores it because the moment has passed.

The window for a great review is narrow — roughly 24 to 48 hours after a milestone moment. That could be the end of a coaching programme, the day a client hits a goal they shared with you, or the moment they complete their onboarding. If you miss that window, the ask feels out of place, and the friction of clicking a link and writing something kills the conversion.

The other issue is that manual asking creates selection bias. Coaches tend to ask only the clients they are confident will say something nice. Which means they get fewer reviews than they deserve, and they never build the volume that makes a Google profile look credible to strangers searching for a coach.

Step-by-Step: Building Your Review Request Workflow

Here is exactly how I set this up for coaches at Systrify. The whole build takes under 45 minutes if your Google Business profile is already connected.

Step 1 — Connect your Google Business Profile. Inside your GHL sub-account, go to Settings → Integrations → Google and connect the Google account that owns your Business Profile. Once connected, GHL can pull in your review link and display incoming reviews in the Reputation tab.

Step 2 — Find your Google review link. In the Reputation tab, GHL will generate a direct URL for your review page. Copy this. You will embed it in your workflow message. Test it — open it in a private browser and confirm it lands directly on the "Write a review" prompt.

Step 3 — Create the workflow trigger. Go to Automation → Workflows → New Workflow. Choose a trigger that marks a meaningful milestone for your clients. The most common options are: Pipeline Stage Changed (e.g. when a deal moves to "Programme Complete"), Tag Added (e.g. "session-complete" tag fires when you mark a session done), or a Form Submitted trigger if you send end-of-programme surveys.

Step 4 — Add a wait step. Drop a 24-hour Wait action immediately after the trigger. You want the client to have slept on the result before the ask lands. Sending it the same minute they complete something feels transactional. The next morning feels natural.

Step 5 — Add the SMS action. After the wait, add a Send SMS action. Keep the message under 160 characters. Something like: "Hey [First Name] — really enjoyed our work together. If you had a good experience, a quick Google review means a lot: [your review link]. No pressure at all." Short, warm, direct.

Step 6 — Add an email fallback. After the SMS, add a 48-hour wait and then a Send Email action. Use a simple plain-text email — no fancy template. One paragraph, the same message, the same link. For clients who missed the SMS or prefer email, this catches them.

Step 7 — Add an IF/ELSE branch (optional but recommended). Use a condition to check whether the contact's phone number is present before the SMS step. If not, skip straight to email. This prevents SMS errors on contacts who came in without a mobile number.

That is the full workflow. Enable it, test it on yourself using a test contact, confirm the review link opens correctly on mobile, and you are done.

What to Expect — and What Most Coaches Miss

In my experience building this for over 150 coaching businesses, a well-timed automated review request converts at 20–35%. That means if you complete 10 client programmes a month, you should expect 2–4 new Google reviews every single month without ever asking manually. Within six months, you go from four reviews to thirty — which is the threshold where a Google Business profile starts to look genuinely credible to a cold prospect.

The mistake most coaches make after setting this up is forgetting the response side. GHL will show you new reviews in the Reputation tab. Reply to every one — good or mediocre. A response takes 30 seconds and signals to both Google and prospective clients that you are present and professional. I have seen coaching businesses jump a full star rating in under three months just by combining automated requests with consistent responses.

One more thing: if you are nervous about sending review requests to every client, do not filter manually. Set a minimum engagement threshold instead — only trigger the workflow when a contact reaches a stage that implies they have actually experienced your service (not just booked a discovery call). That handles the concern cleanly without reintroducing manual selection bias.
