How to Set Up GHL Missed Call Text Back (And Turn Every Missed Call Into a Conversation)
Every missed call from a potential client is a small disaster in slow motion. They rang, you didn't answer, and within 10 minutes they've moved on to the next coach in their search results. GoHighLevel's Missed Call Text Back feature — when configured properly — fires an SMS within seconds of a missed call and starts a conversation before that lead goes cold. Here's exactly how to build it.
The Problem: Missed Calls Are Silently Killing Your Pipeline
Most coaches don't realise how many leads they lose this way. Someone sees your Instagram post, your podcast episode, or your Google listing. They call your number. You're on another call, in a session, or just stepped away. It rings out. They hang up.
That's not a problem if you call back within 5 minutes. But research consistently shows that response time beyond 5 minutes drops conversion rates by over 80%. The lead's intent was highest in that exact moment — and if you're not there, you're done.
I've audited businesses running on GoHighLevel where this feature wasn't turned on. When we switched it on and paired it with a proper SMS follow-up sequence, the number of discovery calls booked from inbound calls increased by 30-40% within the first month. Same leads. Same traffic. Just actually responding to them.
The feature exists inside every GHL account. Most coaches just haven't found it — or have left the default message on, which reads like a robot wrote it in 2018.
Step 1: Enable Missed Call Text Back in Your GHL Settings
This is simpler than most people expect. Here's exactly where to find it:
- Log into your GHL sub-account (not the agency dashboard — the sub-account level where your business lives).
- Go to Settings → Business Info. Scroll down until you see the Missed Call Text Back section. It has a toggle — flip it on.
- You'll see a text field for your message. Do not leave the default. The default usually says something like "Sorry we missed your call, we'll be in touch." That's forgettable. Write something human instead.
A message that actually works:
"Hey! Sorry I missed you just now — I'm with a client. This is [Your Name] from [Business]. Are you looking to [solve problem]? I have a spot open this week. What's the best time to connect? — [First Name]"
The key elements: personalise it with your name, acknowledge the missed call directly, ask a question that invites a reply, and give them a sense of availability. You want a response, not just acknowledgement.
One important note: this feature fires from your GHL phone number — the one inside your sub-account. If you're forwarding to a personal mobile, the text still goes from your GHL number. Make sure that number is the one on your website and marketing materials, otherwise the reply goes somewhere your GHL inbox won't catch it.
Step 2: Build the SMS Follow-Up Workflow That Runs After the Text Back
The Missed Call Text Back is a one-shot message. What happens after that is where the real work lives. If they reply, great — but if they don't, you need a follow-up sequence that keeps nudging them without being annoying. This is where GHL Workflows come in.
Go to Automation → Workflows → + New Workflow. You're building a workflow triggered by a missed call event. Here's the structure:
- Trigger: Customer Missed Call — this fires every time an inbound call goes unanswered. Set it to trigger once per contact (not once per call, or a serial caller will get your sequence five times).
- Step 1: Wait 10 minutes — give them time to respond to the initial text back. If they reply, you'll handle it in conversation. The workflow should have an "if/else" condition here: if they replied, end the workflow. If not, continue.
- Step 2: Send SMS #2 (Day 0, +10 min) — "Still here if you want to chat — what were you hoping to sort out today?"
- Step 3: Wait until next business day morning (9am) — don't text people at midnight. GHL lets you set time windows for message delivery.
- Step 4: Send SMS #3 (Day 1) — "I help coaches [specific result]. If timing is off right now, no worries — here's my booking link when you're ready: [link]". Drop your Calendly or GHL calendar link here.
- Step 5: Wait 2 more days
- Step 6: Send SMS #4 (Day 3) — final touch — "Last message from me — if you're looking for [specific outcome], I'd love to help. Book a 20-min chat here: [link]. After that I'll leave you be." The "last message" framing massively increases response rates because people hate the idea of leaving something unresolved.
At each wait step, add a condition branch: if the contact has replied at any point, remove them from the workflow. You don't want your automation pestering someone who's already in a live conversation with you.
Step 3: Add Tags and Pipeline Actions So Nothing Falls Through
The final piece is visibility. A missed call that texts back and gets a reply needs to show up somewhere you'll actually look — not just sit in your GHL conversations tab getting buried.
Inside the same workflow, add these actions after each message step:
- Add tag: "missed-call-followup" — lets you filter your contacts list and see everyone in this sequence at a glance.
- Add to pipeline: "Inbound Leads" at stage "Called In" — creates an opportunity card so the contact appears in your pipeline view, not just your conversations. This is the step most coaches skip, and it's the reason leads disappear.
- Assign to user (yourself or your VA) — puts the contact in your assigned conversations so it shows in your "My Leads" view.
If a contact replies and books a call, you want a separate workflow to move them to "Call Booked" stage automatically — but that's a different setup. For now, the tag and pipeline action means a human eye will land on every missed call lead within 24 hours, even if the SMS sequence doesn't convert them.
