How to Build a GHL Sales Pipeline That Follows Up Automatically

Step 1 — Build Your Pipeline Stages (The Right Ones)

- New Lead — contact just entered the system (form fill, ad, referral)
- Discovery Call Booked — they've scheduled a call but haven't shown up yet
- Discovery Call Done — call happened; proposal or next step is pending
- Proposal Sent — you've sent pricing or a proposal document
- Won — they said yes; onboarding begins
- Lost / Nurture — not now, but don't delete them
To build this: go to CRM → Pipelines → Add Pipeline. Name it, then add your stages in order. Keep them simple. The complexity lives in the workflows, not the stage names.
Step 2 — Create a Workflow for Each Stage Entry
This is where most coaches get lost, but it's straightforward once you know the pattern. In GHL, go to Automation → Workflows → New Workflow. Set the trigger to "Pipeline Stage Changed", then filter by your pipeline name and the specific stage. That workflow now fires every time a contact hits that stage.
Here's what I configure for each stage trigger:
- New Lead → Send an immediate SMS: "Hey [First Name], thanks for reaching out — I'll personally be in touch within the hour." Then assign a task to yourself or your VA to call within 60 minutes. Speed matters most here — leads that get a response within 5 minutes convert at 9× the rate of those contacted an hour later.
- Discovery Call Booked → Fire a 3-part reminder sequence: confirmation email immediately, SMS 24 hours before, SMS 1 hour before. Include the Zoom link each time. This alone cuts no-shows by 35-40% for every client we set it up for.
- Discovery Call Done → Send a thank-you email within 15 minutes with a short recap and your proposal timeline. Add a 48-hour follow-up SMS if the stage hasn't moved to "Proposal Sent."
- Proposal Sent → Start a follow-up drip: email on day 2, SMS on day 4, "closing the loop" email on day 7. These aren't pushy — they're helpful. Most coaches close deals on the day-7 follow-up because the prospect just needed a nudge.
- Lost / Nurture → Add to a long-term nurture sequence: one email per month with a tip or case study. We've had clients book calls 6 months later from this sequence.
Step 3 — Use Wait Steps and Conditions to Keep It Human
The mistake I see constantly is automations that fire at midnight or send four messages in a single day. GHL's workflow builder has Wait steps and Time Windows — use them.
Inside any workflow, after your first action, add a Wait step set to "Until a specific time window" — for example, weekdays between 9am and 6pm in your timezone. This means even if a lead fills in your form at 11pm, the SMS fires at 9am the next morning. It reads as intentional, not robotic.
You can also add If/Else branches based on whether a contact has replied to your last message. If they replied, skip the next follow-up. If they haven't, send it. This alone makes your automations feel like a real person is managing the follow-up — because the logic mirrors what a good salesperson would do.
