How to Automate Contract Signing and Payment Collection for Coaches (PandaDoc + Stripe + Zapier)
Most coaches close a client on a call, then spend the next 48 hours chasing a signature and an invoice. That gap — between verbal yes and money in the bank — is where deals go cold. Here's how to close it completely with a three-tool automation that handles contracts, payments, and onboarding without a single manual step.
The Problem: Your Close Process Has a Manual Hole in the Middle
You do the hard work. You run a great discovery call. You get a genuine "yes, let's do this." And then — you sit down, draft a contract in Google Docs, copy-paste the client's name and package details, export it to PDF, email it over, and wait. Maybe they sign it that evening. Maybe they sign it Thursday. Maybe you have to send a reminder. Then you send a Stripe payment link separately. Then you have to remember to check whether they've paid before you send them their onboarding questionnaire.
That entire chain is completely automatable. I've built this workflow for coaches at Systrify and the result is consistently the same: close-to-paid time drops from 2-4 days to under 2 hours. More importantly, it stops deals from going cold while the client waits on paperwork.
The stack I use: PandaDoc for contract generation and e-signatures, Stripe for payment links and collection, and Zapier (or Make.com) to wire them together. You don't need to code anything. The whole setup takes an afternoon.
Step 1: Build a PandaDoc Template That Fills Itself
PandaDoc is a contract and proposal tool with one killer feature for coaches: dynamic tokens. You create your coaching agreement once, mark the variable fields as tokens — client name, package name, price, start date, coach name — and PandaDoc fills those in automatically every time you send a new contract.
Here's how to set it up:
- In PandaDoc, go to Templates → New Template and build your standard coaching agreement. Include your scope of work, payment terms, cancellation policy, and liability clauses. Write it once, properly.
- Wherever client-specific data appears, insert a token:
{{client.first_name}},{{package_name}},{{total_price}},{{start_date}}. These map to fields you'll pass in from Zapier later. - Add a signature field for the client and a date field — PandaDoc handles the signing interface, legal compliance, and timestamped PDF storage automatically.
- Under Settings → Integrations, connect your Stripe account directly. This lets PandaDoc embed a payment step at the end of the signing flow — the client signs the contract and pays in one seamless step.
That last point is the one most coaches miss. PandaDoc has a native Stripe integration that lets you add a payment block to the document itself. Client signs, scrolls down, pays. One URL, one flow, done.
Step 2: Trigger Contract Generation from Your CRM or Booking Tool
You don't want to manually create contracts in PandaDoc — that defeats the point. The trigger should be something you're already doing: marking a lead as "won" in your CRM, or a client booking a specific session type in Calendly or GoHighLevel.
In Zapier, the workflow looks like this:
- Trigger: Deal stage changes to "Closed Won" in HubSpot or GoHighLevel (or a Typeform/Tally intake form is submitted with package details, or a Calendly "Strategy Session Booked" event fires)
- Action 1 — Create PandaDoc Document from Template: Zapier calls PandaDoc's API to create a new document from your template, passing in the client's name, email, package, price, and start date from the trigger data. The document is created in draft state in your PandaDoc account.
- Action 2 — Send PandaDoc Document: A second Zapier step sends the document to the client's email address. They receive a professional-looking link, not a PDF attachment — PandaDoc handles the signing interface in the browser, including on mobile.
- Action 3 (optional) — Send notification to Slack or SMS: Notify yourself that the contract has been sent so you know to expect it back.
If you're using GoHighLevel, you can trigger this directly from a GHL workflow instead of Zapier — GHL has a PandaDoc action built into its workflow builder as of early 2026. One less tool in the chain.
Step 3: Automate What Happens After They Sign and Pay
This is where the real leverage is. Most coaches think automation ends when the contract is signed. But that moment is actually the starting gun for your entire onboarding sequence. Here's the post-signature automation chain I set up for clients at Systrify:
- Trigger: PandaDoc webhook fires when document status changes to "Completed" (fully signed and paid)
- Action 1 — Update CRM: Move the contact to your "Active Clients" pipeline in HubSpot or GHL. Tag them as a paying client. Remove them from any nurture sequences so they stop getting sales emails.
- Action 2 — Send onboarding email: Via your email platform (ConvertKit, ActiveCampaign, or GHL email), trigger your onboarding sequence. First email delivers the welcome guide, access link, and intake questionnaire. This goes out within 60 seconds of signing — while the client is still at their desk, excited.
- Action 3 — Create a client folder: Zapier creates a Google Drive folder named after the client, copies your standard onboarding documents into it, and shares it with the client's email. Every new client gets a consistent, professional folder structure without you touching Drive.
- Action 4 — Book the first session: If you use Calendly, Zapier can send a personalised booking link for the kickoff call in the welcome email. If you use GoHighLevel, you can automate an SMS with the same link. The goal is to get the first session booked before the client closes their laptop.
One coach I worked with — a leadership coach running a six-month group programme — cut her admin time on new client onboarding from 3 hours per client to about 12 minutes. The 12 minutes was reviewing the intake questionnaire. Everything else was automated.
