How to Automate Client Testimonial Collection (So You Never Chase Reviews Again)
Every coach I've worked with has a graveyard of testimonials they never got. The client loved the programme. Results were real. But asking felt awkward, life got busy, and it never happened. Here's the automation that fixes this permanently — without you ever having to send a single follow-up manually.
The Problem: Great Results, Zero Evidence
Social proof is the single most powerful sales tool a coach has. A prospect on the fence doesn't need another feature list — they need to see someone exactly like them saying "this changed my business." Yet most coaches are sitting on months of excellent client outcomes with nothing to show for it publicly.
The reason isn't laziness. It's timing and friction. You finish a session while you're in the middle of your next call prep. You intend to ask next week. Next week arrives and the moment has passed — the client has mentally moved on, and a cold request now feels like you're asking for a favour rather than capturing a warm result. The window closes fast.
The fix is not "remember to ask." The fix is a system that asks at exactly the right moment, with zero effort from you, every single time.
The Automation: Session End → Review Request → Stored Proof
Here's the exact workflow I build at Systrify for coaching clients. It runs in three parts and takes about two hours to set up.
Trigger: session or programme completion. This is where most coaches overcomplicate it. The trigger can be dead simple — a Calendly event type called "Final Session" fires, or a tag is applied in your CRM (GHL, HubSpot, ActiveCampaign) when a client reaches a "Completed" pipeline stage. Either way, the moment that tag or event fires, your automation starts moving.
Step 1 — Wait 24 hours, then send a personalised email. In Zapier (or Make.com if you prefer), add a delay step of 24 hours after the trigger. Then send an email via Gmail or your ESP. The key here is specificity — the email should reference the programme name and feel personal, not like a mass blast. Something like: "Hey [First Name] — it was great finishing up [Programme Name] with you. If you've got two minutes, I'd love to capture what you took away from it. No essay needed — just a few honest sentences. Here's the link: [Tally form URL]". That's it. No pressure, no ask for a public review yet.
Step 2 — Tally form collects the testimonial (and permission). Tally is free, looks clean, and connects to Zapier natively. Your form should ask three things: (1) What was your situation before we worked together? (2) What changed? (3) Would you recommend working with me, and to whom? Add a final checkbox: "I'm happy for Harsh to use this on his website and social media." That permission checkbox is what converts a private note into usable marketing copy.
Step 3 — Response logged to Airtable and Slack notification fired. When Tally receives a submission, Zapier creates a new row in an Airtable base called "Testimonials." Fields: client name, programme, date, testimonial text, permission granted (yes/no), status (New / Formatted / Published). Simultaneously, Zapier posts a Slack message to a private channel: "New testimonial from [Name] — [first 100 characters of response]..." You see it instantly, without checking any dashboard.
The Part Most Coaches Skip: Formatting and Republishing
Collecting testimonials is only half the job. The other half is turning them into content. Most raw testimonials are either too long, too vague, or structured in a way that doesn't land well on a sales page. A few things that make this faster:
- Add a "Format" step in your Airtable automation. Airtable's built-in automations can trigger a Make.com webhook when a row's status is set to "New" — which then calls a Claude API prompt to tighten the testimonial into a 2-3 sentence punchy version. You review it; you don't write it.
- One Airtable view per use case. Create filtered views: "Website quotes" (permission = yes, status = Published), "Instagram stories" (short ones under 80 words), "Case study candidates" (detailed ones with before/after). Your Airtable becomes your social proof library — searchable, filterable, always up to date.
- Zapier → Buffer for automatic social scheduling. When you flip a testimonial's status to "Scheduled," Zapier picks it up and creates a draft post in Buffer with the formatted quote and a tag. You approve it in Buffer; it posts at your optimal time. The only thing you do manually is hit approve.
This entire chain — from session ending to a formatted quote sitting in your social media scheduler — runs without you touching it. The only human step is approving the final post.
What to Do If You Use GoHighLevel
If your coaching business runs on GHL, the trigger layer is even cleaner. Set up a GHL workflow that fires when a contact moves to a "Programme Completed" pipeline stage. From there, you can send the testimonial request email directly inside GHL using a template — no Zapier needed for the trigger. The response still goes to a Tally form, which then fires the Zapier zap into Airtable as above.
Alternatively, GHL has a reputation management module with a built-in review request feature. It's designed for Google and Facebook reviews, but you can point the link anywhere — including a custom Tally form if you want to capture longer-form testimonials before funnelling people to a Google review. Running both in parallel (internal testimonial form + Google review request 48 hours later) doubles your social proof surface area without any extra effort from you.
